UGM Strengthens Administrative Excellence Through Digitalization Training for Educational Staff

Yogyakarta, June 18, 2025 – Universitas Gadjah Mada (UGM), through its Directorate of Human Resources, has successfully conducted the Digitalization of General Administration Training to equip educational staff with the latest competencies in managing administrative processes in a digital era. Held online from June 16–18, 2025, the training was attended by 169 participants, all from the category of educational staff, with 69% UGM employees and 31% civil servants (PNS). Participants represented both the Central Administration Office (35%) and faculties/schools (65%), ensuring broad institutional coverage.

The program aimed to strengthen digital competencies, enhance efficiency, and promote accountability in administrative work. By embracing digital tools and practices, UGM continues to modernize its governance and improve service delivery across academic and administrative units.

Diverse Demographics Reflecting UGM’s Inclusivity

The training participants represented a wide demographic spectrum. 54% were women and 46% men, with the largest age groups being 41–50 years (28%) and 31–40 years (27%), followed by 20–30 years (27%) and over 51 years (18%). In terms of education, most participants held Bachelor’s degrees (46.7%), followed by senior high school (28.4%), Diplomas (16%), and smaller percentages with Master’s, Doctoral, and vocational qualifications.

This diversity reflected UGM’s commitment to ensuring that all staff, regardless of age, background, or position, are given equal opportunities to strengthen their digital literacy and administrative skills.

Comprehensive Curriculum and Expert-Led Sessions

The curriculum was carefully structured to cover key areas of general administration. Sessions included:

  • Fundamentals of Archival Management – Ully Isnaeni Effendi, S.E., M.Sc.
  • Asset Management in PTN-BH Context – Edi Prasetyo, S.T., M.Eng.
  • Financial Transaction Management – Hesti Arumawati, S.E., M.M.
  • Academic Administration – Sri Haryanti, S.Pd., M.Pd.
  • Student Affairs Administration – Suprijani, S.IP., M.P.A.
  • Personnel Administration and Employee Discipline – Eko Yulianto, S.E., M.Acc.
  • Use of Information Systems in Official Correspondence – Farida Yuliani, S.S., M.A.
  • Office Cleanliness Management – Febri Sulistyo, S.E.
  • Secretarial Administration for Leadership – Brita Hapsari, S.Pd., M.Sc.
  • Fundamentals of Protocol – Haryanto, S.E., M.M.
  • Procurement Administration – Agung Nugroho, S.T., M.Sc.

The sessions received overwhelmingly positive evaluations, with over 70% of participants rating the topics as “highly relevant” and the speakers as “highly competent.” Many participants praised the materials as “clear, informative, and directly applicable to daily work.”

Strong Satisfaction with Organization and Facilities

The use of eLOK Learning Management System (LMS) and Zoom Meetings was highly commended, with nearly 79% strongly agreeing that both platforms effectively supported the training. Participants valued the flexibility and accessibility of the online format, though some also expressed a preference for hybrid or offline sessions in the future.

The organizing committee was also praised for professionalism, responsiveness, and courtesy, with 78.8% giving them the highest rating. Participants noted the smooth execution of the program and the committee’s consistent support.

Positive Impact and Constructive Feedback

Participants widely described the training as “very good, useful, and beneficial for daily tasks,” with comments highlighting that the program “opened new insights into administrative governance” and “was both engaging and applicable.” One participant remarked, “The training gave me new and interesting information, especially regarding digital systems in administration.”

While the feedback was overwhelmingly positive, suggestions included more interactive formats, additional case-based learning, and extending the training duration. Some participants emphasized the need for regular follow-up programs and deeper exploration of specific administrative topics.

Building a Foundation for Administrative Modernization

Overall, the Digitalization of General Administration Training was a resounding success, with consistently high ratings across content, delivery, facilities, and organization. By bridging traditional administrative practices with digital innovations, the program has equipped UGM’s staff to meet the evolving demands of higher education administration.

As one participant expressed, “This training was very beneficial for us at the faculty level, providing both new insights and practical tools.”

Moving forward, UGM is committed to expanding such initiatives, ensuring that educational staff continue to play a central role in advancing digital transformation and institutional excellence at one of Indonesia’s leading universities.
