
Yogyakarta, June 2022 – Universitas Gadjah Mada (UGM), through its Directorate of Human Resources, has successfully organized the Official Document Management Training (Pelatihan Tata Naskah Dinas) for educational staff (Tendik) across various faculties, schools, and administrative units. The program, which ran from May 17 to June 3, 2022, was conducted fully online via Zoom Meetings and drew enthusiastic participation from 257 staff members.
This training aimed to strengthen administrative competence and ensure uniformity in document management practices across the university. Facilitated by experts from three key units—UGM’s Office of Law and Organization, Office of General Affairs and Household, and Archives Office—the sessions provided both theoretical foundations and hands-on exercises on official correspondence, archiving, and document governance in line with university regulations.
“The training was not only beneficial for enhancing our technical skills but also crucial in helping us adapt to increasingly digital administrative demands,” shared one participant in the post-training evaluation.
Strong Participation and Positive Evaluations
The evaluation report showed that participants were highly satisfied with the program. More than 95% of respondents agreed that the training content was highly relevant to their daily tasks and up-to-date with current administrative practices. The majority also praised the clarity and accessibility of the materials, which were made available through UGM’s eLOK learning platform.
The online format, while posing initial challenges, was largely considered effective. Over 60% of participants rated the virtual delivery as either “effective” or “very effective,” highlighting the convenience and adaptability it provided during the ongoing pandemic period. However, some participants suggested future sessions also be held offline to allow for deeper interaction and discussion.
Constructive Feedback and Future Needs
Beyond technical evaluations, the participants also offered constructive feedback and suggestions for further training. Many requested follow-up workshops on related topics such as digital archiving, leadership, communication skills, public speaking, and the use of UGM’s integrated systems (Simaster). Several also recommended increasing the duration of the training to allow more comprehensive coverage of each topic.
The committee’s performance received particularly high marks, with 98% of respondents acknowledging the responsiveness, professionalism, and support provided by the organizing team. Such strong feedback underscores UGM’s commitment to delivering high-quality professional development programs for its staff.
