Webinar Empowers UGM Supporting Staff with AI for Enhanced Productivity

Yogyakarta, September 28, 2024 — In a continued effort to enhance productivity and collaboration among its supporting staff, Universitas Gadjah Mada (UGM) recently held a groundbreaking webinar titled “Transforming Productivity and Collaboration for Supporting Staff with COPILOT.” Organized by UGM’s Directorate of Human Resources, the webinar marked a pivotal step in integrating Artificial Intelligence (AI) technology into the university’s daily administrative operations, aiming to simplify workflows and improve efficiency.

The event, conducted via Zoom on Friday, September 27, 2024, from 9:00 to 11:00 AM WIB, attracted 959 supporting staff members from various units within UGM. The session’s primary focus was introducing COPILOT, an AI-based tool designed to assist with administrative tasks, automate routine processes, and foster team collaboration. This initiative aligns with UGM’s mission to integrate modern tools that enhance performance and adaptability in the evolving academic landscape.

The webinar opened with remarks from the Director of Human Resources, who reaffirmed UGM’s commitment to advancing administrative processes through technology. Emphasizing the strategic role of AI in higher education, the Director highlighted how its adoption not only boosts productivity but also cultivates a collaborative, innovative, and sustainable work environment. The introduction was followed by a pre-test, led by the Directorate’s training team, to gauge participants’ baseline understanding of AI applications in administrative work.

The keynote presentation, delivered by Prof. Dr. Ridi Ferdiana, S.T., M.T., Director of Information Technology at UGM, offered an in-depth exploration of COPILOT’s capabilities. Prof. Ridi showcased how the tool significantly reduces the time needed for routine administrative tasks, enabling staff to focus on strategic, value-added activities. His presentation featured real-world examples and case studies, illustrating the transformative potential of AI tools like COPILOT in daily operations.

An interactive Q&A session allowed participants to raise questions and share insights on integrating AI technology into their unique workflows. This exchange offered valuable perspectives on how COPILOT can be tailored to meet the diverse needs of UGM’s supporting staff, sparking enthusiasm for AI-driven efficiency improvements.

The session concluded with a post-test to assess participants’ understanding and a feedback survey to evaluate the training. Participants expressed overwhelming positivity, praising the clarity and depth of the material presented. Many highlighted COPILOT’s potential to automate repetitive tasks, ease workloads, and improve collaboration by enabling seamless information sharing within teams.

Constructive feedback included requests for extended training durations to allow for deeper comprehension and hands-on practice. Participants also suggested more frequent sessions, incorporating hybrid formats to offer a mix of online and in-person learning experiences for better interactivity.

Looking ahead, UGM is committed to addressing these suggestions by organizing advanced training sessions and broadening its digital transformation initiatives. By adopting advanced AI solutions like COPILOT, UGM reaffirms its dedication to innovation and excellence, ensuring its supporting staff are equipped to thrive in a rapidly evolving digital world.

This webinar not only demonstrated UGM’s leadership in embracing digital transformation but also reinforced its mission to empower its workforce with smarter tools for enhanced productivity. By integrating cutting-edge AI technologies, UGM continues to pave the way for a more efficient, collaborative, and future-ready academic ecosystem.
